Description & Requirements
The IT Business Operations Analyst performs IT-related administrative duties including fulfilling purchase requests, processing invoices for payment, tracking and handling software licensing and renewals, and assisting others with inquiries regarding purchases, hardware, software, and budgeting. This role requires strong knowledge and skills in information technology, business processes, system and process analysis, and problem solving. Successful candidates will follow and improve defined processes and methodologies; they will use and improve tools and techniques and may be expected to help draft or select tools as needed. Successful candidates will have demonstrated an ability to work without close supervision and are trusted advisors among team members and stakeholders. Successful candidates will have strong written and verbal communication skills. What You Will Do:
- Oversee the full lifecycle of IT-related procurement, including obtaining vendor quotes, reviewing purchase requests, addressing procurement inquiries, securing necessary approvals, placing orders through various channels, ensuring order fulfillment, and processing invoices for payment.
- Administer software renewals and purchases by tracking contract expiration dates, costs, and user allocations. Provide contract details, license keys, and related information to internal stakeholders. Collaborate with vendors to obtain quotes and license keys, secure approvals for renewals, and assist with new software acquisitions.
- Continuously evaluate licensing needs to eliminate unnecessary licenses and co-term agreements for cost efficiency.
- Process monthly payments for recurring charges, verify accuracy of all charges, and allocate costs appropriately.
- Manage the firmwide MiFi account by tracking devices and usage, generating usage reports upon request, and monitoring activity to identify devices for suspension or termination.
- Assist in developing the annual FTS budget, including operating, consulting, and capital expenditures.
- Develop a thorough understanding of the firm’s Microsoft licensing footprint to support procurement, contract management, and cost optimization. Responsibilities include oversight of the Enterprise Agreement, server licenses, and Azure resources, ensuring compliance and financial efficiency.
Minimum Qualifications:
- High School Diploma
- Demonstrates a professional appearance and demeanor that reflects the firm’s standards.
- Highly self-motivated with the ability to work independently and efficiently with minimal supervision.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Comprehensive knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) required.
- High Proficiency in Excel, including formulas and macros
- Solid understanding of basic accounting principles and functions.
- Exceptional attention to detail and accuracy.
- Excellent interpersonal, written, and verbal communication skills.
- Maintains strict confidentiality in all aspects of work.
- Ability to establish strong professional relationships and negotiate successfully with vendors.
Preferred Qualifications:
- Associates or Bachelor’s Degree
- 3 + years of relevant experience
- Experience with software licensing and technology procurement.
- Strong knowledge of Microsoft Licensing Suite and Azure portal.
