Salary: $70,000-$80,000 depending on experience

Position Summary
We are seeking a highly organized and proactive ABA Operations Manager to manage staff scheduling, client coordination, and operational support for our clinical teams. This role involves overseeing master schedules, handling time-off requests, minimizing appointment gaps, and ensuring timely documentation and authorizations for multi-state operations. The manager will work closely with recruiting, billing, clinical leadership, and intake teams to maintain compliance, streamline operations, and support high-quality care delivery. Strong attention to detail, communication skills, and a commitment to regulatory and HIPAA compliance are essential.
Key Responsibilities
- Oversee master schedules of clients, their clinical teams, and staff
- Manage employee time off requests
- Design schedules proactively to minimize gaps and cancellations and over schedule to account for future cancellations.
- Ensure timesheets are converted timely and accurately
- Provide staffing needs to recruiting department
- Ensure proper staff-client matching based on needs and therapist expertise in collaboration with Director of Clinical Services.
- Work with families to reschedule missed sessions promptly to avoid loss of hours.
- Ensure internal processes for tracking client authorizations to prevent lapses in approved services are set up with accuracy and monitored.
- Ensure timely submission of reassessments and required documentation for continued care in collaboration with Director of Clinical Services.
- Work closely with insurance and billing teams to track authorization expirations and approvals.
- Complete financial form, explain to families, and collect signatures for agreement to proceed with services
- Managing connections in Central Reach to protect HIPPA
- Track and ensure timely renewals of RBT competency assessments, preventing certification lapses.
- Oversee CPR certification renewals and compliance with regulatory requirements.
- Complete onboarding, orientation, and training of new staff members, schedule with lead RBTs/BCBAs for clinical training.
- Ensure all scheduling, authorizations, and staff certifications comply with industry and insurance policies.
- Work closely with clinical leadership to ensure operational efficiency.
- Works closely with the intake coordinator to ensure client inquiries are converted into active clients
- Maintains budget for purchases of supplies and materials for clinics
- Manage files and documentation for employee certifications, onboarding, intake, client and employee absences
Qualifications
- Bachelor’s degree required
- Once a month travel to Jacksonville Florida required
- East cost time zone preferred but not required
- Experience in ABA, behavioral health, or healthcare administration is a plus.
- Exceptional interpersonal and communication skills, especially over the phone.
- Ability to multitask, stay organized, and manage a fast-paced workflow and remote work environment.
- Central Reach experience is not required but highly preferred.
- Detail-oriented, compassionate, and highly professional.
- Knowledge of HIPAA & private health information laws required
