Job Overview:

APTIM’s Energy Transition team is seeking a highly organized and solutions-oriented Program Coordinator to support the planning and daily operations of Focus on Energy’s IRA Home Energy Rebate programs, which are part of Wisconsin’s statewide energy efficiency and renewable energy offerings. This role is ideal for someone who thrives in a collaborative environment, has a passion for energy efficiency and electrification, and enjoys managing the details that help large public programs run smoothly.

As a key member of the program operations team, the Program Coordinator will support planning and delivery efforts across the Home Energy Rebate programs. Working under the direction of the Associate Program Manager, this role will help manage program logistics, track deliverables, coordinate with implementation partners, and contribute to ongoing program improvements. The Program Coordinator will also work with marketing, outreach, and technical teams to help ensure program activities are aligned, timely, and effective.

Focus on Energy is Wisconsin’s statewide energy efficiency and renewable energy program, serving 107 utilities and supporting nearly 200,000 utility customers annually. APTIM has served as Program Administrator since 2011, helping delivery measurable energy savings and high-quality customer support.

Our consultant proactively collaborates with clients to define and implement strategies and campaigns around key business drivers, with the primary focus of finding and delivering high-impact projects exceeding expectations and meeting the unique needs of our commercial and retail clients.

Key Responsibilities/Accountabilities:

  • Assist IRA Home Energy Rebate team with day-to-day program operations and coordination across internal teams and implementation contractors.
  • Review project application forms by customers, contractors, engineers/consultants, and other program participants to ascertain compliance with program policies and procedures.
  • Analyze program data to identify trends, gaps, or opportunities for improvement, and support ongoing performance monitoring using data from multiple databases.
  • Maintain, update, and add entries to the system databases accurately.
  • Develop and maintain tools (e.g., trackers, dashboards, reports) to support program management and decision making.
  • Support quality assurance and quality control activities, including documentation reviews and process improvements.
  • Directly assist in the resolution of program operation and management issues.
  • Help prepare materials for internal and external reporting, including presentations, program updates, and metric summaries.
  • Provide logistical and administrative support for meetings, trainings, and stakeholder engagements.
  • Build strong working relationships with program implementer staff to understand their operational needs and communicate those needs and ensure timely and accurate information flow to the Program Manager.
  • Develop a strong understanding of core Focus on Energy and IRA Home Energy Rebate programs and offerings to support effective communication, inform content development, and respond to staff and stakeholder inquiries.
  • Ensure compliance with all APTIM quality and safety policies as well as all OSHA regulations
  • All other duties as assigned.

Basic Qualifications:

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • 2-4 years’ experience in program coordination, operations support, or a related role.
  • Strong attention to detail and organizational skills.
  • Effective communicator and collaborator with both internal and external teams.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio, SharePoint).
  • Interest in the design, development, and implementation of residential energy efficiency programs.
  • Ability to travel in-state for occasional meetings or events.
  • Self-starter with the ability to manage time, work independently and prioritize projects within established deadlines and handle multiple tasks simultaneously.
  • Commitment to fostering a collaborative work environment within the team and broader organization.
  • Ability to manage multiple priorities and meet deadlines in a collaborative team environment.

Desired/Preferred Qualifications:

  • 2+ years’ experience with incentive program administration or utility energy efficiency programs.
  • Experience working on Focus on Energy programs.
  • Knowledge of the IRA Home Energy Rebate programs and the associated guidance and requirements.
  • Knowledge of Microsoft Dynamics.
  • Understanding of basic energy concepts, technologies, or metrics.

As of the date of this posting, a good faith estimate of the current pay range for this position is $55K to $60K Compensation depends on several factors including: experience, education, key skills, geographic location of the position, client requirements, external market competitiveness, and internal equity among other employees within APTIM.
